Begin with the process and the users

We map how work arrives, who acts on it, what information they need and where it gets stuck. We also look at permissions, exception cases, reporting and the records you need to keep.

An existing product may already cover much of the requirement. A small integration may be enough. We discuss those options before agreeing a custom build. Workflow automation focuses on connecting repeatable steps; a custom system provides the application people use to manage the work itself.

AI features with a defined job

AI can help retrieve information, interpret varied documents or prepare a draft from relevant context. Useful design includes source references where appropriate, access controls and a way for staff to correct or reject output.

Calculations, permissions and known business rules often belong in ordinary software. We choose an AI feature for a specific benefit and test it against realistic tasks. A fluent answer alone is not evidence that the system is working correctly.

Prototype, build and test

A project can begin with a prototype to test a difficult integration or the main user journey. The agreed build then covers the required screens, data, connections and controls. You review the application against the process your team actually follows.

Testing includes representative records, permissions and important failure cases. Before launch, we agree how information will be migrated, who receives access, how the system is backed up and how users will learn to use it. Deployment, handover and support are defined in the quotation.

What determines the investment

Good questions, short answers

Should we build a custom system or buy existing software?

If an existing product fits the process well, buying and configuring it may be the better choice. Custom development becomes relevant when important workflows, integrations or user needs cannot be met sensibly by available tools. We consider both approaches when scoping.

Can an internal system use our own documents and knowledge?

Yes, where the source material, permissions and intended use support it. An AI feature can retrieve information and prepare answers with references, but its accuracy still needs testing. We define access rules, review points and what happens when the available information is insufficient.

Do we need an in-house IT team?

You need someone who understands the process and can make project decisions. You do not need to arrive with a technical specification. Hosting, maintenance, access, documentation and support responsibilities are agreed as part of the project.

Who owns the system and its ongoing costs?

Source code, data, accounts, third-party licences and hosting have distinct ownership or access arrangements. We set these out in the scope, alongside estimated running costs and support terms, so the handover and ongoing responsibilities are clear.
